Create & Access a General Voicemail Box

Most clients use the reception phone voicemail as their main voicemail message, but sometimes companies require a separate voicemail.


Getting a Separate Voicemail Box Setup

As a separate voicemail box is technically a new user, you need to contact your account manager or support to activate your voicemail box. 


Manage the Greeting & Settings

1. Log into your manager portal, and select the users tab on the top menu. 

2. Search or select the user identified as 'general voicemail' or whatever the name is used.

3. You can follow the same steps to Manage your Voicemail Greeting, or Setup Voicemail to Email. Keeping in mind you can have the voicemail messages emailed to multiple email addresses. 

Voicemail Full Issue
To ensure that your general voicemail box is never full, after the email is sent, under notifications be sure to select 'send to trash.' This will ensure your voicemail box is never full.


Accessing Your General Voicemail Box

Although we recommend using voicemail to email, you can access this general voicemail box on a deskphone, webphone or mobile app. 


Dial 5000 (Can be accessed from any deskphone, webphone, or mobile app)

The system will ask you to 'enter your account number' which is the extension used for your General Voicemail Box. In this example, extension 200 is setup as your voicemail box and that information can be found in your manager portal under users. 


Voicemail PIN
Once you have entered your account number, the system will ask you to "Enter your password followed by the pound key." This will be the default voicemail PIN 1234 unless you updated your voicemail PIN.


Programming a button

For convenience, you may want to program a key for reception or other desk phones for easy access. You'll want to follow the steps to program a key on your deskphone. You'll want to use the 'BLF' key and program the destination to 5000. The name should be something like VM with the extension number like "VM 200" to remind the team of the account number. 

No Voicemail Notification 
Unlike your personal voicemail account assigned to your extension, there will be no light indicator when a new voicemail has arrived. Keep this in-mind.
